Commas are frequent troublemakers in business writing: People use too few or too many. The function of a comma is to introduce or separate parts of a sentence.

* To introduce: "In short, proper punctuation is vital to clear writing."

* To separate: "Learning to write well, a task which people often avoid, is a necessity for business success.

If you develop the habit of reading your work aloud, your comma problems will be solved. Read your first draft out loud, and insert a comma where your voice pauses. You may wish to practice this skill by reading a variety of documents aloud, and noting where the commas are placed.

The general trend in business writing today is toward using fewer commas. This is fine -- as long as you remember to check the naturalness, correctness and flow of your work by reading it aloud.
